1. Acceptance of Terms
By creating an account or using any part of the Guildbase platform ("Service"), you agree to these Terms of Service ("Terms") and our Privacy Policy. If you are using the Service on behalf of an organisation, you represent that you have the authority to bind that organisation to these Terms.
If you do not agree with any part of these Terms, you may not use the Service.
2. Description of Services
Guildbase provides an online platform for community application management, including tools for creating application forms, reviewing submissions, managing team members, sending automated notifications, and analysing community growth data.
We reserve the right to modify, suspend, or discontinue any aspect of the Service at any time with reasonable notice. We will not be liable to you or any third party for any such modification, suspension, or discontinuation.
3. Accounts & Registration
To use certain features of the Service, you must register for an account. When registering, you agree to:
- Provide accurate, current, and complete information
- Maintain and promptly update your account information
- Keep your password secure and confidential
- Accept responsibility for all activities that occur under your account
- Notify us immediately of any unauthorised use of your account
You must be at least 13 years of age to create an account. If you are under 18, you must have parental or guardian consent.
4. Acceptable Use
You agree not to use the Service to:
- Violate any applicable laws or regulations
- Infringe on the intellectual property rights of others
- Transmit spam, unsolicited messages, or promotional materials
- Upload malicious code, viruses, or any software intended to damage or disrupt systems
- Harass, abuse, threaten, or intimidate other users
- Collect personal data about other users without their consent
- Attempt to gain unauthorised access to any part of the Service
- Use the Service for any fraudulent or deceptive purpose
Violation of these terms may result in immediate termination of your account without refund.
5. User Content
You retain ownership of any content you submit to the Service ("User Content"), including application form data, responses, and community information. By submitting User Content, you grant Guildbase a non-exclusive, worldwide, royalty-free licence to host, store, and display such content solely for the purpose of providing the Service.
You are solely responsible for the accuracy, legality, and appropriateness of all User Content. You must not submit content that:
- Is unlawful, harmful, threatening, or discriminatory
- Violates the privacy or rights of any third party
- Infringes any intellectual property rights
- Contains personal data that you are not authorised to process
6. Payment & Billing
Paid plans are billed in advance on a monthly or annual basis. All fees are non-refundable except as required by law or as expressly stated in these Terms.
If your payment fails, we will notify you and your account may be downgraded to the free tier. You can upgrade again at any time by providing valid payment details.
We reserve the right to change our pricing with 30 days' notice. Continued use of the Service after a price change constitutes your acceptance of the new pricing.
7. Termination
You may terminate your account at any time by contacting us or using the account deletion feature in your settings. Upon termination, your right to use the Service ceases immediately.
We may suspend or terminate your account at any time for violation of these Terms, or for any other reason at our sole discretion, with or without notice. We will generally provide notice unless doing so would compromise security or legal obligations.
Upon termination, we will retain your data for 30 days, after which it may be deleted. You may export your data before termination.
8. Limitation of Liability
To the fullest extent permitted by law, Guildbase and its officers, directors, employees, and agents shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the Service.
Our total liability to you for any claim arising from these Terms or your use of the Service shall not exceed the amount you have paid us in the 12 months preceding the claim.
The Service is provided "as is" without warranties of any kind, either express or implied, including but not limited to warranties of merchantability, fitness for a particular purpose, or non-infringement.
9. Privacy
Your use of the Service is also governed by our Privacy Policy, which is incorporated into these Terms by reference. Please review our Privacy Policy to understand our practices regarding the collection, use, and disclosure of personal data.
10. Changes to Terms
We may update these Terms from time to time. We will notify you of material changes by email or by displaying a prominent notice within the Service at least 14 days before the changes take effect.
Your continued use of the Service after the effective date of updated Terms constitutes your acceptance of the changes. If you do not agree to the updated Terms, you must stop using the Service.
