Content Safety Guidelines

1. Overview

These Content Safety Guidelines apply to all content submitted through or stored on Guildbase, including application form questions, applicant responses, community descriptions, automated messages, and any other content created by community administrators or their members.

Community administrators are responsible for ensuring that their use of Guildbase complies with these guidelines. Guildbase may review reported content and take enforcement action where guidelines are violated.

2. Prohibited Content

The following content is strictly prohibited on Guildbase:

Hate Speech & Discrimination

Content that attacks or demeans individuals or groups based on race, ethnicity, national origin, religion, gender, gender identity, sexual orientation, disability, or age. This includes application questions designed to screen out protected characteristics.

Harassment & Threats

Content intended to harass, intimidate, bully, or threaten any individual. This includes doxxing (publishing private information), repeated unwanted contact, and content designed to incite others to harass a person.

Sexual Content Involving Minors

Any content that sexualises minors or could be used to exploit or groom children. Violations will be reported to the relevant authorities immediately and without notice.

Illegal Activity

Using Guildbase to facilitate or promote illegal activities, including fraud, money laundering, drug trafficking, or any other activity that violates applicable law.

Malware & Malicious Links

Distributing malicious software, phishing links, or content designed to deceive users into revealing sensitive information.

Spam & Unsolicited Messaging

Using Guildbase's notification or messaging features to send unsolicited bulk messages, advertisements, or promotional content to applicants who did not consent to receive them.

3. Administrator Duties

Community administrators using Guildbase agree to:

Ensure their application forms do not discriminate unlawfully or collect unnecessary personal data
Treat all applicants with fairness and respect, regardless of their application outcome
Inform applicants of how their data will be used and stored
Not use Guildbase to coordinate harassment campaigns against individuals
Remove content that violates these guidelines promptly when made aware of it
Not share applicant data with unauthorised third parties

Important: Administrators are responsible for all content created or collected through their Guildbase account. Allowing prohibited content to persist after being notified may result in account suspension.

4. Personal Data in Application Forms

When creating application forms, administrators must:

Only collect personal data that is necessary for the purpose of evaluating applicants
Not collect sensitive data (health information, financial details, government IDs) without a clear, legitimate reason and appropriate disclosure
Not create questions designed to identify protected characteristics for the purpose of discriminatory selection
Ensure that applicants understand their data may be reviewed by community staff

Applicants who submit data through Guildbase-powered forms retain rights over their personal data. Administrators must be able to delete individual applicant data on request.

5. Enforcement

When we identify or receive reports of guideline violations, we take action proportionate to the severity:

Severity	Examples	Action
Low	Minor policy violations, accidental spam	Warning issued; content removed if necessary
Medium	Repeated violations, discriminatory forms, data misuse	Temporary account suspension; mandatory review
High	Hate speech, illegal activity, CSAM	Immediate permanent ban; report to authorities where required

We reserve the right to take immediate action — including account suspension without prior notice — where there is an imminent risk of harm.

6. Reporting Violations

If you encounter content on Guildbase that you believe violates these guidelines, please report it to us:

Please include as much detail as possible: the URL or name of the community, a description of the content, and any supporting evidence. Reports are reviewed by our safety team, typically within 24 hours.

All reports are handled confidentially. We will not disclose the identity of a reporter to the subject of a report without your permission, except as required by law.

7. Appeals

If your account has been actioned under these guidelines and you believe the decision was made in error, you may appeal by contacting safety@guildbase.io within 30 days of the action.

Please include your account details, the reason for appeal, and any supporting context. Appeals are reviewed by a member of our team not involved in the original decision. We aim to respond within 5 business days.

Our decision on appeal is final. Accounts actioned for the most severe violations (CSAM, imminent threats of violence) are not eligible for appeal.
